Making Calls

  • Dial the number while the phone is on hook. Once you have finished dialing the number of the party you wish to speak with, you may lift the handset, press the button, or press the Dial soft-key.
  • Dial the number while the phone is off hook. After you press the button or lift the handset, dial the number of the party you wish to call.

Redial


To redial the previously dialed number, press the Redial button. (Not available on 335 model)

Receiving Calls


When you are receiving a call you have several options:

  • Answer in handset or hands-free mode, or reject the call.
    • Rejecting the call immediately sends the caller to your voice mail.
  • To answer in handset mode, simply lift the handset and begin your conversation.
  • To answer in hands-free mode either press the button or press the Answer soft-key.
  • To reject the call, press the Reject soft-key.

Receiving Calls While on the Phone (Call Waiting)


If you receive a call while you are on the phone with another caller, your phone will notify you by emitting a short “beep” and showing the calling party’s Caller-ID information. When a call comes in and you are on the phone, use the down arrow key to highlight the incoming call. Once highlighted, you may either Answer or Reject the incoming call.

If you choose to answer the call, the current call will be placed on hold. If you wish to conference the two parties together, refer to the Call Conferencing section of this guide.

Call Transfer


On your phone you can transfer a call in one of two ways: attended transfer and blind transfer.

  • Attended Transfer
    • In an Attended Transfer, the party transferring the call waits for the destination number to answer the phone. After the person at the destination number has answered the phone, the party transferring the call states the nature of the call and completes the transfer. With the calling party on the line, press the Transfer button. This places the calling party on hold. Dial the number of the party you wish to transfer the call to or select a speed dial key.
  • Blind Transfer
    • Blind Transfer will transfer the call to the destination number without first connecting with the destination number. With the calling party on the line, press the Transfer button, then press the Blind soft-key. Either dial the number or press the speed dial key for the user where you wish to send the call. You will then be disconnected form the call and the caller will be transferred.

Ringtones


Ringtones are added by the VoIP system administrator and are universal to all phones in the VoIP system. End users cannot upload their own ringtones.
To select your ringtone:

  • Press the Menu button.
  • Select the Settings… menu item.
  • Select the Basic… menu item.
  • Select the Ring Type… menu item.
  • If necessary, select the line where you wish to set the ringtone.
  • Select your preferred ringtone. You may sample them by pressing the Play soft-key.

Call Conferencing


Call conferencing can be done on the phone in an impromptu fashion, no prior setup is required. This is useful for when 3 parties wish to speak to each other simultaneously.

Invitation Conference:

An invitation conference is established when you conference a second party into a call without first having established a call with them. To establish this type of conference call with a second party you must first have an active call.

  • Press the Conference button.
  • Dial the number of the party you wish to conference, or press the speed dial key of the party you wish to conference.
  • When the third party answers press the conference key again, you will be placed in conference with all called parties.

Call Join Conference

A call join conference is a conference that is created when two established calls are joined together. This can happen if you have a caller on the line and another caller is on hold, and you wish to conference both parties in.

  • Wait until both parties have called in.
  • Press the Join soft-key to join both calls together.

Ending a Conference Call

  • To end the conference call, press the End Call soft-key or hang up the handset.

After ending the conference call, the remaining parties will still be able to talk to each other.

Meet-Me Conference Calls


Meet-Me Conference Incoming Calls

Available 24 hours every day

  1. Dial 0 for the campus operator during normal business hours to schedule a conference call (if calling from off campus dial 491-5881).
  2. You will need to provide:
    1. Name and telephone number of person originating the conference call.
    2. Date and time of conference call.

Operator will assign a Meet Me Conference call in number. Assigned Meet Me Conference telephone number is available from midnight to midnight on assigned day. Provide the assigned telephone number to other participants.

Conference call originator dials into the conference first. Originator will hear continuous ringing until other participants enter the conference call.

Originator may place call on Hold but may not hang up until the conference call has completed.

*A Dedicated MeetMe Conference line that can be directly dialed and does not have to be scheduled through Telecom can be set up for a one-time installation fee of $10.00 and a recurring $3.10 monthly fee.

Block Callers

Polycom VV310 or VVX 410:

  1. In call history on the phone – look for the caller you wish to block. It may be in ‘Missed Calls’ or ‘Received calls’.
    • You can press the ‘v’ button(down arrow) to bring up a list of missed calls from the home screen.
    • You can press the ‘<‘ button(left arrow) to bring up a list of received calls from the home screen
  2. Select the phone number you wish to block, and press ‘info’. Press ‘save’.
    • If you do not see the ‘save’ button, please contact telecom so they can configure your phone to reject calls.
  3. This will bring up an ‘Add Contact’ menu.
  4. Scroll down to ‘Auto Reject’ and press the center button(button in the center of the arrow pad). Select ‘enabled’.
  5. Press the ‘save’ button, and future calls from this number will be forwarded directly to voicemail.

Polycom SoundPoint IP 335:

  1. In call history on the phone – look for the caller you wish to block. It may be in ‘Missed Calls’ or ‘Received calls’.
    • You can press the ‘v’ button(down arrow) to bring up a list of missed calls from the home screen.
    • You can press the ‘<‘ button(left arrow) to bring up a list of received calls from the home screen
  2. Select the phone number you wish to block, and press ‘info’. Press ‘save’.
    • If you do not see the ‘save’ button, please contact telecom so they can configure your phone to reject calls.
  3. Press the ‘Dir’ on the bottom right of the screen from the home screen.
  4. Press the center check button to select a contact.
  5. Press ‘Edit’ and scroll down to ‘Auto Reject’ and press the center button(button in the center of the arrow pad).
  6. Press ‘>’ right key and select ‘enabled’.
  7. Press the ‘save’ button, and future calls from this number will be forwarded directly to voicemail.

Polycom SoundPoint IP 550/650:

  1. In call history on the phone – look for the caller you wish to block. It may be in ‘Missed Calls’ or ‘Received calls’.
    • You can press the ‘v’ button(down arrow) to bring up a list of missed calls from the home screen.
    • You can press the ‘<‘ button(left arrow) to bring up a list of received calls from the home screen
  2. Select the phone number you wish to block, and press ‘info’. Press ‘save’.
    • If you do not see the ‘save’ button, please contact telecom so they can configure your phone to reject calls.
  3. Press the ‘Contact Directories’ on the on the phone.
  4. Press the center check button to select a contact.
  5. Press ‘Edit’ and scroll down to ‘Auto Reject’ and press the center button(button in the center of the arrow pad).
  6. Press ‘>’ right key and select ‘enabled’.
  7. Press the ‘save’ button, and future calls from this number will be forwarded directly to voicemail.
